Alumni Programme privacy notice
This Privacy Notice explains how Johnson Stokes & Master (“JSM”, “we”, “us”, “our”) collects, uses, stores and shares personal information of individuals who choose to join the JSM Alumni Programme (“Programme”).
This notice supplements the JSM Privacy Notice available at JSM’s website at www.jsm.com/legal-notice/privacy-notice, which contains full details of our data handling practices, including data security, data retention and lawful processing bases. If you cannot access the website, you can obtain a hard copy by contacting the Data Protection Officer using the contact details below.
The data we collect about you
We may collect and process the following categories of personal information:
- Basic profile details: your name, title, your recent career history (position, office, department, dates of employment), and if you have voluntarily shared the same, your current/future employer and job title.
- Contact information: your personal email address, mobile no., WeChatID and home location.
- Information you voluntarily submit in connection with your participation in our events and programmes, e.g., dietary requirements provided in response to an event invitation.
- Information such as photographs you provide to us for publishing in our materials, e.g., Alumni Newsletter, Alumni Directory.
We may obtain the personal information directly from you when you choose to join the Programme, including during the offboarding process or when you contact JSM after your departure. We may also use the information already held in our internal employment records such as your last position, department and date of employment, to pre-populate certain fields in your profile. In addition, we may receive personal information you provide voluntarily when participating in our events or activities.
Purposes for which we use your personal information
We will only use your personal information for the purpose for which we collected it, which includes:
- the Programme and communicating with you on alumni related matters;
- sending invitations to you about alumni or JSM events and activities that may interest you (“Event Invitations”);
- sending you alumni information, news, updates and developments about JSM (“News”), as well as legal articles, publications or insights that may interest you (“Publications”);
- making you aware of potential JSM job opportunities;
- managing and administering our relationship with you and our clients; and
- complying with legal obligations which we are subject to.
We process the personal information only for the above stated purposes and only with your consent, as required under applicable laws.
If you prefer not to receive any alumni Event Invitations, News or Publications, you may opt out at any time by sending your request to our HR department at [email protected]. Once we receive your request, we will stop using your personal information for these purposes as soon as reasonably practicable and at no charge.
How we share your personal information
We may share your personal information within JSM and with external third party service providers who perform operations on our behalf, such as those who host, maintain and support the systems used to manage our alumni information. Your personal information may also be transferred, stored or processed outside Hong Kong or the location in which it was collected. Your legal rights
